Detailed Job Description Administrative Support
Provide administrative support to the Head, including assistance to organize school meetings and using Outlook calendar to schedule meetings for the Head and Associate Heads as needed.
Assist the Head with distributing, collecting and storing sensitive documents and coordinating meetings with groups of faculty and individuals.
Resolve, research, and assess problems of a sensitive or confidential nature.
Organize completion of the School's Annual Report.
Coordinate and submit textbook adoptions for Math service courses to campus bookstore prior to each term.
Design & Event Planning
Oversee and manage postings on bulletin boards and electronic displays in the building as well as manage and update the School's social media page; create, distribute and post advertisements for various events.
Coordinate and support Commencement reception.
Assist with guest speakers: hotel reservations, working with travel agent to book flights, building itinerary as necessary.
Provide administrative support to SMS faculty as needed.
Serve as backup for Student Support Services, especially during enrollment periods.
Administrative Support to Math Modeling PhD Program
Provide administrative support to the Math Modeling PhD Program Director and students; attend RIT monthly PhD Program meetings and program assistant meetings.
Complete and process all student paperwork, including hiring and enrollment forms.
Enroll students in courses as needed.
Keep detailed records of students' progress toward completion; assign advisor and enter student Milestones (required for certification at completion of program) in RIT student info system; verify degree completion; assist with arranging and advertising dissertation defenses.
Coordinate special events as requested by Director (including reserving rooms, ordering refreshments, etc.).
Be the lead for students at completion of their program, as well their faculty advisors, in the graduation process; including making sure steps to dissertation and graduation are completed within the necessary timeline leading up to, during and after the ceremony.
Department/College Description THE COLLEGE/ SCHOOL The School of Mathematics and Statistics (SMS) is one of six academic units in RIT's College of Science, which also houses the Chester F. Carlson Center for Imaging Science, the Integrated Sciences Academy, the School of Chemistry and Materials Science, the School of Physics and Astronomy, and the Thomas H. Gosnell School of Life Sciences. The SMS promotes research in mathematical and statistical sciences and is the home of 79 faculty members, four administrative staff members, three undergraduate programs (Applied Mathematics, Computational Mathematics, and Applied Statistics and Data Analytics), two MS programs (Applied and Computational Mathematics, and Applied Statistics) and a Ph.D. program in Mathematical Modeling. The SMS offers the required mathematics and statistics courses for students from all RIT programs.
Minimum Qualifications Education Associate degree or 3-5 years administrative experience required; preferably in academic setting.

Demonstrated expertise in managing work in a complex, fast-moving office environment.
Professional demeanor, and strong interpersonal communication skills.
Excellent verbal and written communication skills, attention to detail, organizational skills and time management skills; ability to work within deadlines,
